Privacy Policy for VATIVE - AI Email Categorizer

1. Introduction

Welcome to VATIVE. VATIVE is a Chrome browser extension that helps you categorize and label your Gmail messages using AI. This Privacy Policy describes what information we collect, how we use it, and the choices you have regarding your data.

2. Information We Collect

​

  1. Gmail Data

    • With your explicit consent via OAuth, we fetch up to 50 of your most recent Gmail message threads from your Primary inbox.

    • For each message we process, we retrieve:

      • The message ID (thread identifier).

      • The Subject header.

      • A truncated snippet of the email body (up to 500 characters), stripped of links and HTML formatting.

  2. User-Defined Settings

    • Your custom categories (names and colors) that you configure in the extension popup.

    • Your categorization preferences (which categories you’ve created).

  3. Local Storage

    • We store categorized results (message ID, subject, chosen category, timestamp) and your category settings in Chrome’s local storage. No data is stored on any external server under our control.

  4. Third-Party Service Interaction

    • We send the truncated email subject and snippet to OpenAI’s API to generate a category label.

    • We do not log or persist the AI responses beyond associating the returned category with the message in local storage.

3. How We Use Your Information

​

  • Categorization: To automatically label and visually annotate your Gmail threads based on AI-generated categories.

  • Display: To render category chips and a filter dropdown in the Gmail UI.

  • User Experience: To remember your custom categories and their colors for future sessions.

4. Data Sharing and Disclosure

​

  • OpenAI: We share only the minimal text (subject + truncated snippet) required to generate a category. OpenAI’s handling of that data is subject to its own Privacy Policy.

  • No Other Sharing: We do not sell, rent, or otherwise disclose your personal data to any third parties, except as required by law.

  • All data used via the Google Workspace APIs is not used to develop, improve, or train generalized AI and/or ML models.​ This is made sure by marking data sharing as disabled for all categories in the OpenAI  API Management Platform interface for "Share evaluation and fine-tuning data with OpenAI", "Share inputs and outputs with OpenAI". Both categories always remain marked as disabled. Hence, no sharing of email data to develop, improve, or train generalized AI and/or ML models.​

5. Data Security and Storage

​

  • All data is stored locally in your browser’s chrome.storage.local area.

  • We do not transmit or persist your personal Gmail data on our own servers.

  • OAuth tokens obtained via chrome.identity are managed by Chrome and are not exposed or stored by us.

6. User Control and Choices

​

  • Revoke Access: You can remove VATIVE’s OAuth token at any time via Chrome’s Extensions page or your Google Account’s security settings.

  • Clear Data: Use the “Remove All Applied Categories” button in the popup to wipe all stored categorization history and category settings.

  • Modify Categories: Add, rename, or delete your custom categories at any time in the popup UI.

7. Children’s Privacy

​

VATIVE is not intended for use by children under the age of 13. We do not knowingly collect personal information from anyone under 13.

8. Changes to This Privacy Policy

​

We may update this policy periodically. The “Last updated” date at the top will reflect changes. We encourage you to review this page regularly.
